Quick answer: Yes, you have to prove where you will sleep for every night of your trip, but it does not have to be a paid hotel. A free cancellation reservation, a host invitation from friends or family, a signed rental or Airbnb confirmation, or a company letter for a business trip are all accepted forms. What gets people refused is not the type of booking, it is a booking that does not match their flights, their dates or their stated purpose.

What the rule actually says

The EU Visa Code requires you to show documents relating to accommodation, alongside your purpose of travel, your means of subsistence and your intention to leave before the visa expires. The list of acceptable documents in the Visa Code is deliberately not exhaustive, which is why each consulate publishes its own version and why the answer you get from a friend who applied to Greece may be useless if you are applying to Germany.

The underlying question the officer is answering is simple: does this person have a real, coherent plan, and can they afford it. Accommodation is one of the easiest places to see whether the plan is real, because it has to line up with your flights and your itinerary to the day. A booking that leaves a two night gap in the middle of a trip raises a question that nothing else in your file will answer.

The forms of proof, and what each one has to contain

Do you have to pay for the hotel up front?

This is the question we are asked most, and the honest answer is that a free cancellation reservation is normal and widely accepted. Consulates know that nobody wants to prepay a non refundable hotel for a visa that might be refused, and the requirement is proof of accommodation, not proof of payment. A genuine reservation held on a free cancellation rate is a genuine reservation.

What is not fine is a fabricated confirmation, or a service that generates a document that was never a real booking with a real property. Consulates in the UAE do verify bookings, and a confirmation that the hotel has no record of is a false document. That is a different and far more serious problem than a weak application: it can lead to a refusal that follows you for years and it damages every future application to any country. The practical middle path is straightforward. Make real reservations on free cancellation rates with properties you would actually be happy to stay in, submit those, and only convert to non refundable rates once your visa is in hand. If you booked a rate you now want to change, that is fine. Nobody checks afterwards whether you moved hotel, as long as you were somewhere legitimate and left on time.

Staying with family or friends in Europe

A large share of UAE residents travel to Europe to visit relatives rather than to sit in hotels, and this is where files fall apart. Most Schengen states do not accept a casual letter saying you are welcome to stay. They use a specific accommodation undertaking or formal obligation document, often signed by the host and certified by their local town hall, municipality or police authority, and the version required by Germany looks nothing like the version required by Italy or the Netherlands.

Your host also has to prove they can accommodate you. That usually means their own identity document or residence permit, evidence of their address such as a tenancy agreement or utility bill, and sometimes evidence of income or the size of the property. Start this early, because a host in Europe getting a document certified is not something that happens in an afternoon, and the appointment you fought for will not wait. One more point that catches families. If your host is paying for your trip as well as housing you, say so and evidence it, rather than presenting bank statements that do not support the journey. Sponsorship handled openly is normal. Sponsorship hidden behind thin statements looks like a funds problem, which is one of the most common grounds for refusal. Multi country trips and the main destination rule

Your accommodation is not only evidence that you have somewhere to sleep. It is also the main evidence of which consulate you should be applying to. You apply to the country where you will spend the most nights, and if the nights are equal, to the country you enter first. Officers read your hotel bookings to check that, and a file where the bookings show eight nights in Italy submitted to the Spanish consulate for a three night Madrid stopover is a file with a real problem.

So build the itinerary first, then book, then choose where to apply. Trying to work backwards from whichever country has an open appointment slot is a common tactic in the UAE and it is the wrong way round. If your genuine main destination is impossible to book, the honest options are to change the trip or to wait, not to misrepresent it. The checks to run before you submit

Read your own file the way an officer would, in this order. Do the accommodation dates cover every single night between arrival and departure, including the night you land and excluding nothing in the middle? Does every applicant appear by name? Do the cities match the flights and the day by day itinerary? Does the standard of accommodation sit sensibly alongside the funds you have shown? Does the total number of nights match the length of stay you asked for on the form?

Then check the other half of the file, because accommodation alone never won a visa. Do I need a hotel booking if I am staying with family?

Do I need accommodation proof for every night of the trip?

Yes. Gaps are one of the first things an officer notices. If you are travelling between cities on an overnight train or flight, include that ticket so the gap is explained rather than left blank.

My friend is paying for my hotel. Whose name should be on the booking?

Yours, as the traveller, and it should also state that your friend is paying if that is the arrangement. Add a short letter from them confirming the sponsorship with their own financial evidence. Open sponsorship is accepted. Sponsorship that is hidden and then discovered looks like a funds problem.
