Of all the documents in a Schengen file, the cover letter is the only one you write yourself. That makes it the easiest place to help your case and the easiest place to damage it. We read a lot of cover letters from applicants in Dubai and Abu Dhabi, and the problems are almost always the same: generic templates, dates that do not match the hotel booking, and promises that no document backs up. This guide shows you what to put in, what to leave out, and how to make the letter consistent with the rest of your application.
Most consulate checklists published through VFS Global in the UAE, and BLS International for Spain, ask for a cover letter or a personal letter explaining the purpose of travel. The exact wording differs by country, so check the checklist for your consulate before you submit. Even where it is not strictly listed, a short letter is useful because it gives the officer a single page that ties your documents together.
Apply to the right consulate first. Your letter goes to the country where you will spend the most nights, or the country you enter first if the nights are equal. If you are unsure, read our explainer on the Schengen main destination rule. Remember that there is no French visa centre in Dubai; VFS lists Abu Dhabi for the whole UAE, so a France letter is submitted there.
Keep it to one page. Officers process many files a day and they are looking for clarity, not persuasion. Use this structure.
| Section | What to write | Common mistake |
|---|---|---|
| Header | Your full name as in your passport, passport number, UAE address, phone, email, date. Address it to the consulate of your main destination. | Addressing the wrong country, or “To whom it may concern” when another consulate’s name is left in from a template. |
| Subject line | “Application for a short stay Schengen visa (tourism) from 2026 to 2026“. | Dates that differ from the application form. |
| Who you are | Nationality, UAE residence status, job title and employer, how long you have lived and worked in the UAE. | A job title that does not match the employment letter or salary certificate. |
| Purpose and itinerary | Why you are going, the cities, and the nights in each. Two or three sentences. | Listing six countries in eight days with no bookings to support it. |
| Funding | Who pays and from which account. If a sponsor pays, say so and refer to the sponsor letter. | Claiming you pay when the bank statement shows a large recent deposit you cannot explain. |
| Return and ties | Approved leave dates, the date you return to work, family or property in the UAE. | Emotional promises such as “I swear I will come back” with no evidence. |
| Enclosures | A short list of the documents attached. | Listing documents that are not in the file. |
| Signature | Sign by hand and date it. | Unsigned letters, or a letter signed by someone else. |
An officer reads your letter and then checks each claim against the file. Every sentence should point to a document:
If a sentence has no document behind it, either add the document or remove the sentence. A letter that says more than the file can support invites the refusal reason about the purpose and conditions of stay not being justified. Our guide to Schengen refusal codes explains how officers phrase these decisions.
Do not copy a template word for word; officers see the same online samples every week. Use this outline and write it in your own words:
Paragraph one: I am applying for a short stay tourist visa to visit Italy from 12 to 19 December. I am an Indian national and have lived in Dubai since 2019 on an employment residence visa valid until 2028.
Paragraph two: I plan to spend four nights in Rome and three nights in Florence, travelling between them by train. My flights and hotels are reserved and copies are attached.
Paragraph three: I work as a Senior Accountant at a Dubai company and my employer has approved leave for these dates; I return to work on 21 December. I will pay for the trip from my salary account, statements for which are attached.
Paragraph four: A list of enclosed documents, followed by your signature.
That is enough. Four short paragraphs that match the file beat two pages of explanation.
Describe your business in one sentence, mention your trade licence and who runs the business while you are away. Our guide for self-employed and freelance applicants covers the supporting documents.
Say who is sponsoring the trip and their relationship to you, and attach a separate sponsor letter with their documents. Your cover letter should not repeat the sponsor letter in full.
Mention it briefly and explain what has changed, such as new employment, stronger finances or a clearer itinerary. Hiding a refusal is worse than addressing it. See appeal or reapply after a Schengen refusal.
You do not need to apologise for a thin passport. Keep the trip modest and well documented. Our companion guide on getting a Schengen visa with no travel history goes into this in detail. If you are also planning U.S. travel, note that consistency checks there now include social media; see our U.S. social media vetting update.
We draft and review Schengen cover letters as part of a full document check. We compare every line against your bookings, statements and employment documents, fix inconsistencies before the officer sees them, and make sure you apply to the right consulate and centre. One page is ideal. Four short paragraphs covering who you are, your trip, your funding and your return, followed by a list of enclosures and your signature, is enough for a tourist application.
Address it to the embassy or consulate of your main destination country, meaning the country where you will spend the most nights. If nights are equal, it is the country you enter first.
You can use a structure, but write the content yourself. Officers recognise common online samples, and copied letters often contain details that do not match your documents, which is worse than a plain letter.
Yes. Sign it by hand and date it. If the applicant is a child, a parent or legal guardian signs on their behalf.
Yes, briefly. The consulate can usually see previous Schengen decisions, so explain what has changed since the refusal rather than leaving it out.
