Quick answer: Yes. A short-stay Schengen visa can be issued for business purposes such as meetings, conferences and trade fairs. The official list of supporting documents asks for a written request from the hosting firm or event organiser, plus proof of your own employment. If you cannot get that letter, alternatives include event registration, a trade fair ticket, business correspondence or a travel programme. It does not give you the right to take up paid work in Europe.

Business travel from the UAE is constant. Buyers go to trade shows, founders go to investor meetings, engineers go to supplier visits. The mistake we see most is treating a business trip like a tourist trip with a hotel booking and a screenshot of a flight. A consulate reading a business application is asking different questions: who is the counterpart, why does this meeting require your presence, and who is paying. This guide explains the documents, how the paperwork differs for employees and company owners, and where business applications go wrong.

What the official documents list asks for

The EU’s harmonised list of supporting documents describes the core document for a business trip as a written request from a hosting firm, office, authority or trade event organiser stating that you need to attend a meeting, conference or event connected to commercial or professional work. If you cannot get that letter, the list allows other proof of the purpose of your stay, such as event registration, a trade fair entry ticket, business correspondence or your travel programme. It also asks for proof of employment, unless the invitation already shows it. Individual countries add their own requirements, so always check the consulate you are applying to.

Employee, owner or self-employed: what changes

If you are an employee, the file is built around your employer. You need a letter confirming your role, your salary, your leave or assignment dates, and that you will return to your post. Our guide to the employment letter and NOC explains what it should say. If you own the company, your trade licence, company bank statements and a letter about the purpose of the trip carry more weight, and the guide for self-employed applicants and freelancers shows how to present them. In every case your personal bank statements still matter, as set out in the guide on bank statement balances.

How to prove the event is real

For a trade fair, the registration confirmation, an exhibitor or visitor badge booking, and the organiser’s website details are useful. For a conference, a registration receipt, the programme and an invitation from the organiser help. For a client meeting, a letter on company letterhead from the European firm, signed, with contact details, the dates and the topic. Keep the dates consistent across the invitation, flights and accommodation, and read our guide to the cover letter to explain the trip in plain words. A vague letter that could be about anything is a common reason for doubt. Our post on refusals for unclear purpose explains how consulates read this.

What a business visa does not allow

Attending a meeting or event is not the same as working in Europe. Taking up paid work, delivering services for pay or staying to run a project usually needs a different permit, and the rules vary by country. If you are not sure whether your activity counts as attending or as working, ask the consulate in writing before you apply. Also keep your leisure plans reasonable. Adding a long holiday after a three-day fair is not forbidden, but the itinerary should still match the stated purpose. Check how many days you may stay with the Schengen 90/180 calculator, and if you travel to Europe often, our guide to multiple entry visas explains when a longer visa makes sense. You can estimate the fee with the visa cost calculator.

Frequently asked questions

Is there a separate business visa for the Schengen area?

The short-stay Schengen visa covers business purposes as well as tourism. What changes is the supporting documents, mainly the invitation and proof of employment or business.

Can I attend a trade fair as a visitor without an invitation letter?

The official list allows alternatives to a hosting letter, such as event registration, a trade fair entry ticket or business correspondence, but individual countries may ask for more.

Can I get paid for the work I do at the event?

Do not assume so. Attending a meeting is different from performing paid work, and this usually needs a different permit. Confirm with the consulate before you travel.

Do I need a different visa if I own the company?

The visa type is the same. The supporting documents differ, and a trade licence and company records are usually part of the file.

Can I add a holiday to a business trip?

You can, but the itinerary should remain consistent with the stated purpose and the days you are allowed to stay.
