You need one whenever the person travelling is not paying for the trip from their own funds. In the UAE that comes up constantly:
It is worth separating two documents that get muddled. An invitation letter comes from a host abroad who is receiving you and confirms where you will stay. A sponsor letter comes from whoever is paying and confirms the money. Sometimes one person does both, in which case say both things in the same letter. Often they are two different people, and then you need two letters. If accommodation is the part you are unsure about, our guide to hotel booking proof for a Schengen visa from Dubai covers that side.
Consulates are not looking for elegant prose. They are looking for six facts they can verify.
| Element | What to write |
|---|---|
| Who you are | Full name as printed in your passport, nationality, Emirates ID number, passport number, UAE residence visa expiry, address in the UAE |
| Who you are sponsoring | Full name exactly as it appears in the traveller passport, passport number, date of birth, relationship to you |
| The trip | Destination country, purpose, and the exact travel dates you are covering |
| What you are covering | Name the items: flights, accommodation, insurance, daily expenses. Do not write a vague promise to cover everything |
| Why you can afford it | Your employer and job title, your monthly salary, and a reference to the statements attached |
| Signature and date | Wet signature, dated within a few weeks of submission, with your phone number and email for verification |
Open by identifying yourself and your UAE residence status. State the relationship and name the traveller. State the destination and the dates. List precisely what you are funding. Give your employment and income, and refer to the attached statements. Confirm the traveller will return to the UAE at the end of the trip if that is the case. Close with your contact details, signature and date. One page. No adjectives.
The letter is a claim. These are the proof. A letter without them is close to worthless, and this is where most UAE sponsor packs fall short.
| If the sponsor is | Attach |
|---|---|
| Salaried in the UAE | Emirates ID (both sides), passport copy with residence visa page, salary certificate or employment letter on company letterhead, three to six months of personal bank statements stamped by the bank, and the tenancy contract if available |
| Self employed or a business owner | Emirates ID, passport and visa page, valid trade licence, memorandum of association if applicable, and six months of business or personal statements |
| A UAE company sponsoring an employee | Letter on company letterhead signed by an authorised signatory, trade licence copy, and confirmation the company is covering the trip |
| A relative living abroad | Their passport or national ID, proof of legal status in that country, proof of address, and their own financial evidence |
Statements matter more than the letter. Consulates read the balance, the salary credits and the pattern, not the promise. Our guide to bank statements and balances for visa applications in Dubai explains what a healthy set looks like, and our note on refusals for insufficient funds shows how it goes wrong. If you are self employed, read our guide for self employed applicants and freelancers in Dubai before you write anything.
A balance that jumps a week before submission reads as borrowed money, not as means. Officers look at the pattern across the whole period, not the closing figure. Plan the timing so the funds have been sitting there.
Passports in this region often carry a father name or a different word order to the one used socially. Copy the traveller name character for character from the passport machine readable zone, not from memory. If you are unsure how to read it, see our guide to reading the visa sticker and MRZ.
One salary funding a family of five on a two week European trip invites scrutiny. Either scale the trip down, split the sponsorship across two earners, or show savings that genuinely cover it.
If you sponsor a parent, attach something linking you: a birth certificate, a family book, or the page showing the shared family name. If you sponsor a spouse, attach the marriage certificate. Where a child travels without both parents, a consent letter is usually required as well, which we cover in our guide to travelling with children and consent letters.
Freshness signals that the offer still stands. Sign and date the letter close to the submission date, and reprint it if the appointment moves.
For most Schengen and UK visitor applications from the UAE, a signed letter with supporting documents is accepted without notarisation. Some missions, and some purposes such as long stay or study routes, ask for more. Because this varies by consulate and changes over time, confirm the requirement on the official consulate or visa centre page for your destination before you spend money on attestation. The requirements list published by the mission is the only source that settles it. You can check what else your particular case needs with our visa document checklist generator, and see the country specifics on our United Kingdom and United States pages, or for Australia and Turkey.
We write and review sponsor letters every day, and the fix is almost never literary. It is arithmetic and matching. Does the income support the trip. Do the statements show the money was already there. Does every name, number and date agree across the letter, the passport, the booking and the form. Those four checks catch most of what goes wrong.
We will also tell you when a sponsorship is the wrong strategy, for example when the traveller own modest but steady finances would present better than a stretched sponsor. That advice is free, and it is often the difference between one application and two. See the full scope on our visa services page, the free tools on visa tools, the visa cost calculator for budgeting, and the visa approval chance calculator for an honest read before you submit.
If a refusal is already on the file, start with our guide on whether a visa refusal affects future applications. If you are bringing someone into the UAE instead, see our explainer on the UAE 14 day visit permit extended in July 2026.

Yes, but expect more scrutiny. A friend has no documented family link, so the letter needs to explain the relationship clearly, and the financial evidence needs to be strong. Where a relative could sponsor instead, that is usually the easier case to present.
Yes, include both sides of the Emirates ID plus the passport bio page and the UAE residence visa page. The Emirates ID and residence visa are what prove the sponsor is lawfully settled in the UAE, which is the point of the document.
There is no universal figure, and any website quoting one for every country is guessing. The test is whether the balance and income plausibly cover the specific trip on top of normal living costs. Some missions publish a daily maintenance amount, so check the official requirements for your destination and work from that.
A company letter is appropriate for a business trip. For a personal holiday, a personal sponsor is the right document, because a company funding private leisure travel raises questions rather than answering them.
No. Most missions still want to see the traveller own account, even if the balance is small, alongside the sponsor evidence. Submit both, and let the sponsor documents carry the weight of the funding.
