Which documents do you need? Answer 5 quick questions

Your exact document list builds below as you choose. Nothing is stored or sent.

1What is your work status?

2Why are you travelling?

3Who pays for the trip?

4Is a child under 18 applying?

5Have you given fingerprints for a Schengen visa in the last 59 months?

This list follows the EU rules and the German Consulate General checklist in Dubai. Each consulate adds small differences, and we confirm yours for your destination.

To apply for a Schengen visa from the UAE you need a signed application form, a passport issued within the last 10 years and valid for at least 3 months after you leave the Schengen area, a UAE residence visa, two ICAO standard photos, travel medical insurance of at least €30,000, flight and accommodation reservations, an employer letter or trade licence, and at least 3 months of bank statements. You lodge them in person at the visa centre of your main destination, no earlier than 6 months and, as a rule, no later than 15 days before travel, and give fingerprints unless they were taken in the last 59 months. The consulate usually decides within 15 calendar days, and this can be extended to 45.

This page is the master list. Each consulate publishes its own checklist and may ask for more, so confirm the version for your destination before you book. Our Schengen visa service page covers how we prepare the file with you.

Step 1: confirm which consulate your file goes to

The EU rule is simple and strictly applied. You apply to the country where you will spend the longest time. If your stays are of equal length, you apply to the country you will visit first. A file lodged with the wrong consulate can be declared inadmissible or refused, so decide this before you collect documents, because some consulates add their own items. Our guide to the main destination rule walks through multi-country examples.

You must also be legally resident in the UAE to apply here. If you are in the UAE on a visit visa, read applying for Schengen from Dubai on a visit visa first.

Core documents every applicant needs

The European Commission lists the legal minimum: a valid passport, the application form, an ICAO standard photo, medical insurance, and supporting documents on the purpose of your stay, your financial means, your accommodation and your intention to leave. Consulates in the UAE turn that into a concrete checklist. The table below combines the EU rule with the detail published by the German Consulate General in Dubai, one of the most specific checklists issued in the UAE.

Official requirement
Completed in full, signed and dated by the applicant; both parents sign for a child under 18
What to check before your appointment
Every date, address and employer name must match your other documents

Passport

Keep one clean set; centres keep copies with the file

Extra documents for children under 18

  • Birth certificate, adoption papers or custody decree proving parenthood, translated into English or the consulate’s language.
  • Application form signed by both parents.
  • Letter of consent from any parent who is not travelling, with a copy of that parent’s passport and UAE residence visa. See our consent letter guide and the single parent guide.
  • No visa fee under age 6, and no fingerprints under age 12.

Extra documents by purpose of travel

  • Visiting family or friends: invitation letter from the host with their address, a copy of their passport or EU residence permit and, for some countries, an official hosting declaration.
  • Business: invitation letter from the European company, your employer’s letter confirming the trip is for business and who pays, and trade licence where relevant.
  • Cabin crew and airline staff: see our cabin crew guide.
  • Domestic workers travelling with a family: see our nannies and domestic workers guide.

How to submit your file, step by step

  1. Fix your itinerary. Count your nights per country and identify the main destination.
  2. Book the appointment. Use the official visa centre for that country. Slots in summer and December go quickly; our appointment guide and lead time guide explain how far ahead to book.
  3. Complete the form. Some countries use their own online form, such as Germany’s VIDEX. Print, check and sign it.
  4. Collect documents in the right order. Letters and statements should be recent, usually issued within the last month.
  5. Attend in person. Hand over the file, pay the visa fee and the centre’s service charge, and give fingerprints and a photo. Germany’s Dubai checklist states the visa fee is paid in cash in dirhams.
  6. Track the application. You get a reference number; see tracking and passport collection.
  7. Collect your passport. Check the visa dates, number of entries and the name spelling before you travel.

Who handles Schengen applications in the UAE

Consulates in the UAE collect applications through outsourced visa application centres. The operator depends on the country: Germany works with VFS Global, while Spain’s embassy in Abu Dhabi directs applicants to the BLS Spain Visa Application Centre. Some countries also take applications directly at the embassy. Always book through the link on your destination’s official embassy website. Our country guides below name the centre for each state.

EES and ETIAS in 2026

The EU Entry/Exit System has been fully operational since 10 April 2026. It replaces passport stamping for short stays: at your first crossing your fingerprints and facial image are registered, and every entry and exit is recorded, so overstays are detected automatically. It does not change the visa documents above. ETIAS, the travel authorisation for visa-exempt nationals, is not live yet, and it will not replace a Schengen visa for nationalities that need one. More in our EES guide.

Why Schengen applications are refused

Every refusal is issued on a standard EU form that ticks one or more grounds from Article 32 of the Visa Code. Knowing them tells you what each document is really for.

Justification for the purpose and conditions of the stay was not provided

What it usually means in a UAE file
Vague itinerary, bookings that do not match the form, or a purpose that is unclear
How to prevent it
A day by day plan, bookings that match the dates, and a clear cover letter

Sufficient means of subsistence were not proven

What it usually means in a UAE file
Low or unexplained balance, a large deposit just before applying, no salary credits
How to prevent it
Statements showing regular income; declare any sponsor with their documents

Reasonable doubts about your intention to leave before the visa expires

What it usually means in a UAE file
Weak ties: short residence left, new job, no family or property in the UAE
How to prevent it
Employer letter with return date, tenancy contract, residence valid well beyond the trip

Doubts about the authenticity of documents or the reliability of statements

What it usually means in a UAE file
Fake or cancelled bookings, altered statements, answers that contradict the file
How to prevent it
Use genuine reservations and declare everything, including past refusals

No proof of adequate travel medical insurance

What it usually means in a UAE file
Cover below €30,000, missing repatriation, card-linked cover not accepted
How to prevent it
A standalone policy stating the cover and all Schengen states

Already stayed 90 days in the current 180-day period

What it usually means in a UAE file
Frequent recent travel to Europe
How to prevent it
Check with our 90/180 calculator

Alert in the Schengen Information System, or a public policy or security concern

What it usually means in a UAE file
A past entry ban or other record
How to prevent it
Get advice before reapplying

False, counterfeit or forged travel document

What it usually means in a UAE file
Passport problems
How to prevent it
Use a valid, undamaged passport

If you are refused, the letter states the grounds and how to appeal. The right to appeal comes from Article 32(3) of the Visa Code and follows the national law of the refusing country; Spain, for example, allows a request for reconsideration to the consular office within 1 month. Our guides on rejection reasons, refusal codes and appeal or reapply go further.

Five mistakes we see most often

  • Booking the appointment with the easiest country instead of the main destination.
  • Insurance that excludes one Schengen state or is linked to a credit card.
  • A salary on the NOC that does not match the salary credits on the bank statement.
  • A residence visa that expires within weeks of the return date.
  • Cancelling hotel or flight reservations right after submission, which some consulates check.

How Visa Doctor helps

We build your document set from your nationality, employment and destination, check it against the current checklist of the consulate you are applying to, and flag anything likely to cause a refusal before you submit. We also book the appointment and prepare the forms. The decision always belongs to the consulate. WhatsApp us or contact us with your destination and travel dates.

Schengen visa guides by country

We publish a separate guide for every one of the 29 Schengen states, covering which visa centre handles it in the UAE, the fee, the processing time and the published refusal rate for that consulate: Austria, Belgium, Bulgaria, Croatia, Czechia, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, Netherlands, Norway, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, Sweden and Switzerland.

Frequently asked questions

What documents are mandatory for every Schengen applicant from the UAE?

A signed application form, a passport issued within 10 years and valid 3 months beyond your departure from the Schengen area, a valid UAE residence visa and Emirates ID, two ICAO standard photos, travel medical insurance of at least €30,000, flight and accommodation reservations, and proof of funds such as at least 3 months of bank statements. Employment or status documents are added on top.

How long must my UAE residence visa be valid?

It must cover your trip, and many consulates want a margin. Germany’s Dubai checklist asks for at least 3 months beyond the end of the requested visa. If your residence expires soon after you return, renew it before applying.

Do I need original documents or copies?

Bring originals and a clear set of copies. The centre keeps copies with your file and may check originals. Statements and letters should be recent, usually issued within the last month.

Is a flight reservation enough, or do I need a paid ticket?

Consulates ask for a flight reservation, not a paid ticket. It must be genuine and verifiable. Invented or cancelled bookings are treated as unreliable documents and are a refusal ground.

How early can I apply, and what is the latest?

No earlier than 6 months before travel and, as a rule, no later than 15 days before. The decision usually comes within 15 calendar days and can take up to 45, so in peak season apply well before the 15-day limit.

Does EES change what I submit?

No. The Entry/Exit System, fully operational since 10 April 2026, registers your fingerprints and facial image at the border and records entries and exits. Your visa application documents stay the same. ETIAS is not live yet and does not apply to travellers who need a visa.

Can Visa Doctor prepare my Schengen document file?

Yes. We build and review the full file against your consulate’s current checklist, book the appointment and prepare the forms. We do not influence the decision, which belongs to the consulate.
