It is one of the calls we dread, because the timing is always bad. The visa has just been approved, flights are booked, and then the passport disappears from a taxi, a hotel safe or a bag at the airport. If you live in the UAE, there is an extra layer to worry about: your residence record is also tied to that passport. This guide explains what actually happens to a Schengen visa when the passport is lost, what to do first in the UAE or in Europe, and how to avoid losing weeks of planning.
A short-stay Schengen visa is printed as a sticker, and its data is linked to the passport number in the national and central visa systems. A new passport has a new number, so the old visa has nothing to attach to. The EU visa rules (the Visa Code) do not set out a standard replacement procedure for this situation, and a study by the European Migration Network found that member states handle it differently. That study dates from 2019, so treat it as a guide to how varied the practice is, not as current policy.
The pattern it describes is useful. Several countries do not reissue a short-stay visa at all and expect a fresh application on the new passport. Croatia, for example, cancels the old visa in its system and requires a new application. Hungary has been able to replace a sticker on written request with a police report. Latvia may issue a visa for the remaining validity, but only after you hold a new travel document. Italy treats a traveller without the original visa as someone who cannot enter. The safe assumption for planning is that you will need a new visa, and that any shortcut is a bonus.
Act in this order. First, report the loss to the police and keep the report, because consulates and your own embassy will ask for it. Second, contact the consulate or visa centre that handled your application and tell them the passport was lost or stolen. The Dutch government guidance explicitly asks applicants to report the loss so the visa can be cancelled, and warns that failing to do so can affect later applications. Third, get a replacement passport from your embassy or consulate in the UAE. Fourth, apply again with the new passport.
Because processing times for a new application can be long, the realistic question is whether your trip dates survive. If your travel is close, read our guide on travelling while a Schengen application is in process and on changing travel dates after approval. Your new application will need biometrics again in most cases, so it helps to know what happens at the Dubai biometrics appointment.
Report the loss or theft to the local police and get a written report. Then contact your own country’s embassy or consulate in that country to get a replacement passport or an emergency travel document. The Dutch guidance for travellers in a Schengen country follows the same sequence: police report, replacement passport from your embassy, then a new visa application through the competent authority. This is where a UAE resident has to think about the way home as well. An emergency travel document may only be valid for a direct trip, and your return to the UAE depends on your residence still being valid. Check this with your airline and your embassy before you book anything.
UAE residence is now managed electronically and is linked to your passport details, so a new passport normally means updating your records with the immigration authority. We cannot give you the exact procedure, because it depends on your emirate and your sponsorship type, so confirm it on the official ICP or GDRFA channels. The practical point is that you should not assume the old residence record will keep working at the airport with an unlinked new passport. Sort this out before you try to travel.
| Where you are | First step | Who to contact next |
|---|---|---|
| In the UAE, before the trip | Police report, then tell the issuing consulate or visa centre | Your embassy for a new passport, then a new Schengen application |
| In a Schengen country | Local police report | Your embassy there for a replacement or emergency document, then the visa authority |
| Passport found after you reported it lost | Do not travel on it without checking | The consulate that cancelled the visa |
| Visa expires before you can reapply | Rebook the trip realistically | Visa Doctor or the consulate for the next available option |
Photograph the passport data page and the visa sticker, and email the images to yourself. Keep one copy with a family member. Do not put the passport in checked baggage. Know the passport number and the visa number, because consulates will ask for both. If you need to understand the numbers on the sticker, our guide to reading a visa sticker and MRZ walks through them. Travel insurance matters here too, and our note on Schengen insurance minimums explains what the policy must cover. Check your remaining days with the Schengen 90/180 calculator if you have travelled recently, and see the visa cost calculator for the fee side of a second application.
We cannot make a consulate reissue a visa, and we will tell you so plainly. What we can do is compare your remaining travel window with realistic processing times, rebuild your file quickly from the documents you already assembled, and advise on whether to reapply to the same country or switch. If the original file is intact, a second application is far less work than the first. You can start with our document checklist generator or look at our visa services in Dubai. If an application was previously refused, see appeal or reapply. For related documents guidance, see our posts on staying with friends or family and on business visas for conferences and trade fairs.

Generally no. The visa is linked to the passport it was issued on, and most countries expect a new application. A few countries have handled this case by replacing the sticker on request with a police report, but you should not rely on that. Ask the issuing consulate.
Yes. Official guidance, including from the Netherlands, asks you to report the loss so the visa can be cancelled. Not doing so can affect future applications.
Often yes, because a new application is usually required. Fees and exceptions vary by country, so check with the consulate before you pay for a replacement application.
Tell the consulate and the police. Do not travel on a visa that has been cancelled, and do not assume the old passport is valid again for entry.
Your residence record is linked to passport details, so confirm the update process with the official UAE immigration channels before you travel.
